The Solution

NexaroAI deployed an intelligent AI Agent that became the salon’s digital receptionist, available 24/7 directly on their business WhatsApp number.

We built a central system in n8n that not only holds natural conversations with clients but also manages the salon’s schedule in Google Sheets (which the team was already using) in real-time.

How this n8n workflow operates:

  1. Message Received (Twilio): A client texts the salon’s WhatsApp number (e.g., “I’d like to book a haircut with Kate for next Tuesday”).

  2. Intent Analysis (AI Agent): The AI Agent (powered by OpenAI) instantly analyzes the message. It understands if the client wants to book, change, or just ask about a service price.

  3. Schedule Check (Google Sheets): The agent connects to the salon’s Google Sheet, which acts as its database. It checks in real-time for available services, pricing, and open time slots with the specific stylist (Salon Services, Suggest Stylist, Opening Hours).

  4. Booking: After the client confirms a suitable time slot (proposed by the bot), the workflow automatically books the appointment, writing the client’s details into the main schedule in Google Sheets (Booking Services).

  5. Confirmation (Twilio): The client immediately receives a WhatsApp confirmation with a summary of their appointment.

The Results

The deployment of the AI agent completely transformed the salon’s front desk. Receptionists can now focus 100% of their attention on serving the premium clients who are physically in the salon, rather than constantly answering the phone.

How does the bot know our availability and prices?

The solution is integrated directly with the Google Sheet (or your current booking software) which acts as the “brain.” When a receptionist manually blocks a time, the bot knows instantly and will not offer it to a client.

What if a client wants to reschedule?

The AI Agent is programmed to handle modifications. The client texts “I need to reschedule,” the bot asks for their phone number, finds the booking (in Google Sheets), and then proposes new, available time slots.
