The Challenge

Avenew’s sales team spent 3-4 hours daily on:

  • Finding potential clients on Google Maps, LinkedIn, or Apollo
  • Manual research – opening every website, reading “About Us” sections, analyzing services
  • Writing personalized emails – attempting to customize templates for each lead
  • Copying data – transferring information between tools

The result? 5-7 quality, personalized messages per day. This was too slow to scale the business.

Additionally, typical cold emailing with generic templates like “I see you’re running company X…” had a conversion rate below 2%. Potential clients could spot mass-sent messages from a mile away.

Avenew needed a way to scale outreach without losing personalization.

The Solution

NexaroAI designed and implemented an “AI Personalization Engine”—a workflow that automates the entire sales funnel, from finding a lead to writing their unique email.

How this workflow operates:

  1. Define Target: The “Avenew” team enters their search criteria (e.g., “marketing agencies in Texas”) into a Google Sheet.

  2. Lead Scraping: The workflow automatically fetches these criteria and triggers a scraper (e.g., Google Maps Scraper) to collect a list of hundreds of companies with their websites and contact data.

  3. Deep Website Analysis (AI): For each lead that has a website and email, the n8n workflow not only scrapes their homepage but also crawls it to find key sub-pages (like “About”, “Services”, “Case Studies”).

  4. AI Summarization: The content from each of these sub-pages (up to 3 per lead) is scraped and sent to ChatGPT to create a detailed abstract of the company’s business, values, and tone of voice.

  5. Icebreaker Generation: All abstracts for that lead are aggregated, and fed into a second, specialized AI Agent. This agent’s one goal: “Write a personalized, multi-line icebreaker that references non-obvious details from the client’s site to make the email feel 100% manually written.”.

  6. Database Population: The finished, personalized icebreaker is saved next to the lead’s data in Google Sheets, creating a “golden database” ready to be loaded into any cold mailing tool.

Avenew completely transformed their approach to cold outreach. Instead of 5-7 personalized messages per day, the team now generates 50-100 ultra-personalized leads daily – with zero manual effort.

The system analyzes 3 subpages for each lead and extracts specific, non-obvious insights. This is something that would manually take 20-30 minutes per lead.

Where does the workflow get leads from?

The workflow integrates with Apify, which can scrape:

  • Apollo.io – global B2B database
  • Google Maps – local businesses (e.g., restaurants, agencies)
  • LinkedIn Sales Navigator (optional)

Simply provide a search URL (e.g., “marketing agencies in Berlin”), and Apify will automatically retrieve up to 500 leads with contact details.

Can I customize the message style?

Yes! The workflow has a fully editable system prompt in the “Generate Multiline Icebreaker” node. You can:

  • Change tone (formal/casual/laconic)
  • Adjust message length
  • Add/remove sections (e.g., CTA, product pitch)
  • Change format (e.g., bullet points vs paragraphs)
  • Adapt language (Polish/English/etc.)

We can also create A/B variants, where the workflow generates 2-3 different icebreaker versions for each lead.

Does the workflow automatically send emails?

In this configuration, the workflow prepares the leads and saves them to Google Sheets. This is a “golden database” ready to be pasted into a cold mail tool (like Lemlist, Woodpecker). However, we can easily add a final step to automatically send the emails as well.

What are the operational costs?

By using optimized queries and the GPT-4.1 model, the cost to generate one deeply personalized icebreaker (including scraping and multiple AI analyses) is mere cents. This is drastically cheaper than the cost of a salesperson’s time.
