NexaroAI LLC (“Company,” “we,” “us”) is a Wyoming Limited Liability Company. This policy applies to all services purchased through nexaroai.com.
This Refund & Cancellation Policy is incorporated by reference into our Terms of Service.
1. Setup Fees (One-Time Implementation)
Setup fees are non-refundable once work has commenced.
Our setup fee covers custom implementation work including:
- Process audit and analysis
- Automation strategy design
- Workflow development and configuration
- System integrations (CRM, email, etc.)
- Testing and quality assurance
- Documentation
- Onboarding session
1.1 Cancellation Before Work Begins
If you cancel within 24 hours of payment and before we begin implementation work, you may request a full refund of the setup fee.
1.2 After Work Begins
Once implementation has started, no refunds will be issued for setup fees as these cover labor and resources already committed to your project.
1.3 Satisfaction Guarantee
If you are unsatisfied with the delivered workflows within 14 days of project completion, we will work with you to resolve issues at no additional cost.
This guarantee covers:
- Workflow logic and configuration errors
- Integration connectivity issues within our control
- Functionality that does not match agreed specifications
This guarantee does NOT cover:
- Behavior, errors, or hallucinations of third-party AI models (OpenAI, Anthropic, Google, etc.) which are outside our control
- Scope changes or new feature requests
- Issues caused by changes to your connected systems or accounts
- Third-party API outages or rate limits
2. Monthly Subscription Fees
2.1 Cancellation
You may cancel your monthly subscription at any time by contacting us at [email protected]. Cancellation will take effect at the end of your current billing cycle.
2.2 No Partial Refunds
We do not provide refunds or credits for partial months of service. If you cancel mid-cycle, you will retain access until the end of your paid period.
2.3 Annual Plans
Annual subscriptions paid in advance are non-refundable. You may cancel at any time, but your service will continue until the end of your paid annual term. No pro-rata refunds will be issued.
3. AI Credits
AI credits included in your plan are:
- Non-refundable
- Non-transferable
- Valid only for the billing period in which they are issued
- Unused credits do not roll over to the next month
4. Currency & Exchange Rates
All prices are listed in United States Dollars (USD). All refunds are processed in USD. The Company is not responsible for any fluctuations in exchange rates or fees charged by your bank or payment provider during the refund process.
5. Service Interruptions
5.1 Downtime Credits (Enterprise Plans Only)
Enterprise clients with SLA agreements may be eligible for service credits if uptime falls below guaranteed levels, as specified in their Service Level Agreement.
5.2 Scheduled Maintenance
Scheduled maintenance windows are not eligible for refunds or credits.
6. How to Request a Refund

- Your account email
- Invoice number or payment date
- Reason for refund request
We will respond within 5 business days.
7. Chargebacks
If you initiate a chargeback or payment dispute without first contacting us, we reserve the right to:
- Immediately suspend your account and all services
- Disable all active workflows and integrations
- Terminate access to your data and configurations
- Pursue collection of any outstanding amounts
Important: NexaroAI is not responsible for any data loss, workflow disruption, or business impact resulting from the immediate suspension of services following a chargeback dispute.
We strongly encourage you to contact us directly to resolve any billing concerns before initiating a dispute with your bank.
8. Changes to This Policy
We may update this policy at any time. Changes will be posted on this page with an updated “Last Updated” date. Continued use of our services after changes constitutes acceptance of the revised policy.
